New Tenant Letter 0 Any Examples

All,

I am going to settlement this week on a nice 2 unit in Baltimore. I am looking for some sample letters to introduce myself to the tenants and set expectations, something friendly but firm. I will be writting a new lease in Aug/Sept. Sect 8 asked me to wait 1-2 months to make sure I am in the system properly.

    Dear (# and Street Address) Tenant:

    I apologize for the impersonal nature of this letter. My name is _______. I will be closing on the purchase of your apartment on Monday, June 26th. I have asked the current Landlord for contact information for each tenant but I have not received it yet. I felt it was important to communicate directly with you regarding the status of your apartment before the closing.

    • We look forward to having you continue as a tenant in your apartment.

    • Our immediate plan is to address 100% of the outstanding issues affecting your apartment. Over the next 2-3 months, we will be tackling roof leaks, electrical and hot water problems, landscaping, and any other repairs that we identify. You can help us immediately by noting and communicating all open repair issues in your apartment.

    • While we are making repairs, unfortunately, we will temporarily inconvenience you. That includes planned power outages, some excess noise, and debris around the property. I apologize, in advance, for this nuisance. I simply do not know of a way to effect these improvements quickly without having contractors work concurrently and without disruption. Rest assured - we will complete the repairs as soon as is practical.

    • In return for this inconvenience, we hope to provide a safer, cleaner, and nicer looking property. We plan to install a washer/dryer in the utility room and plenty of security lighting to keep us all safe. This will just be the start of our improvement plan.

    • I have a full time property manager whose name is _____. His cell # is ________. He lives ten minutes away and keeps an eye on my other properties. I would prefer that in the beginning you contact me directly if you have a problem. After our initial improvements, ___ will be exclusively in charge of addressing any and all problems with the property.

    • We will be providing envelopes for your use for the rent payments shortly. In the meantime, please mail rent checks to the address at the top of this letter.

    • I am attaching my business card for contact information. I use email regularly if you are comfortable using that for non emergency communications. My email is ________.

    I will be out of town during July 4th weekend. Please feel free to contact my directly to discuss this letter or any other problems that you have.

    My problem here in South Florida is that I want to serve a 3 Day Notice but cannot even get the last name of a tenant from the previous owner. DOES ANYBODY KNOW OF A DOCUMENT THAT LEGALLY AND FORMALLY ASKS FOR THE NAME, AFTER WHICH I CAN SERVE A "RESIDENT" 3 DAY NOTICE?

    I agree with lavonc. Say you will start to work on repairs in the letter. Work on fixing issues that affect the outside of the building. For renters that pay and you want to keep - start fixing their issues. Evict the deadbeats that do not pay the very first day you can of the first month and do nothing other than bare essentials in their apartments. They will most likely call the building inspector anyway so you can get a nice neat list of things that you have to fix for after you kick them out. I just went thru 2 aquistions this way.
